Questions and answers
Questions about our self storage software
The things storage operators ask us most. Can't see yours? Ask us and a real person will get back to you.
The software
What kinds of storage does it manage?
Storage rooms, lockers (stacked as many levels high as you have), drive-up garages, containers and pallet racking. You can mix them on one site, in one building or on one floor.
Does it work outside Spain?
Yes. It is built for storage businesses in any country or region. Your addresses, tax details, invoice details and contract terms are set for your own business.
Prices and invoices are in euros today. If you work in another currency, tell us and we will talk it through with you before you commit.
Do I need to install anything?
No. It runs in the web browser on computers, tablets and phones. Your staff can also use the staff app on their Android phones.
Does it work well on a phone?
Yes. It was built mobile first: every screen was designed for a phone before a desktop, with navigation at the bottom within reach of your thumb, panels that slide up from the bottom and large buttons. Your team can run the site from the gate or the van, and customers pay, sign and message from their own phone.
Do I need my own server or IT support?
No. We host everything securely in the cloud: the software, your records, contracts and files. Backups, security and updates are looked after by us.
Can it show my actual building?
Yes. The layout builder draws each building and floor to scale, with every room, locker, garage and rack where it really is. The 3D unit manager and the flat plan view both come from that one drawing.
Can I run more than one site or brand?
Yes. One brand can have several sites, each with buildings and floors. Groups can run several brands, each with its own customers, invoices, logo, colours, email address and web address.
Customers and payments
Which payment methods can my customers use?
Card and SEPA Direct Debit through Stripe, plus bank transfer and cash, which your team records. Staff can also take a card payment on their phone with the staff app.
How does automatic invoicing work?
Each customer's rent is worked out from their units and prices. On the billing day the invoices are prepared as a batch for you to check, then issued, emailed with their PDF and collected by the customer's payment method.
Issued invoices are never edited afterwards. A mistake is put right with a recorded correction, and refunds appear as credit on the next invoice.
What happens when a customer pays late?
They appear on the overdue list with how much and how long. You can send reminders, record a promise to pay, overlock the unit and prepare formal notices, and each step is kept on their record.
A customer paying by Direct Debit is not treated as late while their collection is on its way.
Can customers sign contracts online?
Yes. They read and sign on any phone or computer. The signed contract is stored with a timestamp and a fingerprint that shows it has not been changed. Direct Debit mandates are signed and kept the same way.
What can customers do in the portal?
Pay invoices, download invoices and statements, set up a Direct Debit or card, sign contracts, list the items they store, see their appointments, share files and send you messages. The portal carries your logo and colours.
Day to day
How does the team keep on top of everything?
Work queues gather what needs a person: invoices ready to raise, billing details to check, Direct Debits to charge and debts to chase. Team to-dos, staff notes with reminders and your own follow-ups sit on the dashboard each morning.
Can customers message us?
Yes. Customers start a secure conversation from their portal and your team replies from the customer's page. Your team is notified of new messages, customers get an email when you reply, and every conversation stays on the customer's record.
We collect and deliver for customers. Is that covered?
Yes. Collections, deliveries, move-ins and move-outs go on the calendar against your vans and crews, with travel and loading time kept free. Drivers get a job sheet on their phone with the address, access and who to call.
Customers list what they are storing in an inventory they edit and sign online, and what arrives is checked in with photos.
How do we see where every Direct Debit is?
One area shows every collection: ready to charge, waiting out its notice period, in progress, paid and failed, with the bank's reason for any failure. Customers not yet paying by Direct Debit are listed so you can invite them.
Can we give our accountant what they need?
Yes. Record expenses by supplier with their receipts, then create an accountant pack for a quarter or any dates you choose, with every paid invoice and expense for that period.
Can the space calculator go on our website?
Yes. It uses your own services, prices and volume discounts, so visitors see the space they need and what it will cost. Their estimate arrives as a lead for your team to follow up.
Getting started
Can you move my data from my current software?
Yes. We bring across your customers, units, prices and balances, then check the totals with you before you go live, so the numbers match on day one.
How long does it take to get going?
It depends on how many sites and customers you have and where your data is now. After your guided tour we will give you a plan with dates.
Can you build our website?
Yes. We build your public website with you and connect it to your storage system: your services and prices come straight from the system, every enquiry arrives as a lead, and visitors can use the space calculator to find the right size.
Already have a website you like? Ask us about connecting it instead.
Will you train my team?
Yes. We show your team how to use it on your own site, and the screens are built to be clear without a manual.
What happens on a guided tour?
A 45 minute video call. We show the software on a site like yours, from the layout builder to invoicing and the customer portal, and answer your questions. There is no obligation.
Security and your data
Who can see what?
Every member of staff has their own sign-in and a role, for example owner, manager, accounts, customer support, warehouse operative or a read-only auditor. Each role is a set of permissions you choose from more than 120, so you decide who can see money, issue invoices, change layouts or let units.
You can also allow or deny a single permission for one person, and limit people to certain sites and warehouses. Customers only ever see their own account.
Can our warehouse staff see our finances?
Only if you let them. A warehouse operative can let units and handle move-ins without seeing invoices or who owes what; to them, an overdue customer's unit simply shows as occupied.
What happens when someone leaves?
Suspend them and they can no longer sign in. Their past work stays on record, and every change to anyone's access is recorded with who made it and when.
How is my data protected?
Staff sign in with a passkey or password. Customer files are kept privately, never on the public web. Every change to money and access is recorded with who made it and when.
Is my business kept separate from other businesses?
Yes. Each business's customers, invoices, files and settings are kept apart, and staff only ever see their own.
