How it works

Everything your self storage business needs, joined up

Your units, your customers and your money share one record, so when you let a room the contract, the first invoice, the Direct Debit and the customer's portal are already waiting. Here is how each part of the software makes your day easier.

Units and availability

Your building, drawn to scale and always current

The layout builder draws each building and floor to the centimetre. The 3D unit manager then shows every unit's status as it changes, so the whole team sees the same picture.

  • Rooms one at a time or a whole row in one drag, numbered for you
  • Locker banks stacked as many levels high as your lockers go
  • Drive-up garages and containers with roller shutters facing outside
  • Pallet racking with bays and levels for warehouse-style storage
  • Available, reserved, occupied, moving out soon, overdue and blocked
  • A flat plan view that works on any phone

Customers

Everything about a customer on one page

Open a customer and see their units, balance, contracts, invoices, payments, files, notes and messages without hunting through tabs or folders.

  • People and companies, with billing contacts and tax details
  • The next step for each new customer, until they are fully set up
  • Files and photos, all kept privately
  • Every email sent to them, and whether it arrived
  • A clear history of who changed what, and when

Contracts

Signed online in a couple of minutes

Send the contract, and the customer reads and signs it on their phone or computer. The signed copy is stored with its timestamp and a fingerprint that proves not a word has changed since.

  • Your own contract terms, per brand
  • Signed contracts and Direct Debit mandates kept as evidence
  • A short summary first, then the full agreement
  • Customers can quote and book a unit themselves online

Work queues

Everything that needs a person, in one place

Work queues gather what needs doing today, so nothing waits in an inbox or in someone's head. Work through a queue and it is done.

  • Invoices ready to raise, with the total they will bring in
  • Billing details to check before an invoice can go out
  • Direct Debits ready to charge, and customers still without one
  • Debts to chase, oldest first
  • A dashboard that opens on today's moves, visits and queues
The work queues: invoices to raise, Direct Debit, debts to chase

Notes and to-dos

Notes and to-dos the whole team can see

Keep what you know about each customer on their record, and what the team has to do on one list, instead of on sticky notes and in chat groups.

  • Staff notes on every customer, the important ones pinned to their page
  • A reminder on a note for the day you need it
  • Team notes for everyone: a new gate code, a price change
  • Team to-dos with a day, a priority and who is doing it
  • Your own follow-ups waiting on the dashboard each morning
The team's tasks and to-dos with priorities and due days

Secure messages

Messages with customers, kept on their record

Customers message you from their portal and your team replies from the customer's page. Every conversation stays with the customer, not in someone's personal inbox or phone.

  • Customers start a conversation from any phone
  • Your team is notified of new messages
  • Customers get an email when you reply, with a secure link back
  • Conversations by topic: accounts, storage, appointments, contracts
  • Staff-only notes inside a conversation

Calendar

Know what is happening, and when

Move-ins, move-outs, collections, deliveries, site visits and team work on one calendar, by day or by week, for each van and each person.

  • Day and week views, by van or member of staff
  • Travel and loading time kept free around each visit
  • Clashes caught before a van is double-booked
  • Team to-dos and notes beside customer visits
  • Customers see their own appointments in the portal

Collections and deliveries

Job sheets for your drivers

If you collect from and deliver to your customers, it is all built in. Every job has its own sheet on the driver's phone with the address, access and who to call.

  • Collections, deliveries and move-outs booked against your vans and crews
  • Address, access notes and the customer's contacts on the job sheet
  • The customer's inventory, photos and notes one tap away
  • Check in what arrived, with photos, and the storage it went into

Inventories

Inventories customers edit and sign online

Customers list what they are storing, room by room, from their portal. Your team can add to it, and it is signed online before the collection or delivery.

  • Room by room, with quantities and volumes
  • Started from the customer's space calculator estimate
  • Signed online, with every revision kept
  • Separate collection and delivery handovers

Invoicing and automation

Rent invoices that run on their own

Invoices are prepared from each customer's units and prices, issued on the right day, emailed with the PDF attached and collected by the customer's chosen payment method.

  • Batches prepared for you to check and issue in one go
  • Numbering, PDF, email and archive that always agree
  • Issued invoices are never edited: corrections are recorded as corrections
  • Refunds as credit lines on the next invoice
  • Statements customers can print from their portal

Payments

Cards, Direct Debit, transfers and cash

Card and SEPA Direct Debit payments run through Stripe. Each payment is its own record, matched to the invoices it pays, so balances are always right.

  • Customers pay by card or set up a Direct Debit in their portal
  • Transfers and cash recorded with a receipt emailed to the customer
  • Staff take card payments on their phone with the staff app

Direct Debit

Every Direct Debit, from mandate to bank

One place shows what is ready to charge, what is waiting out its notice period, what is on its way to the bank, what has been paid and what failed.

  • Mandates signed online and kept as evidence
  • Customers told before every collection
  • Ready to charge, waiting, in progress, failed and history
  • Failed collections flagged with the bank's reason
  • Customers not yet on Direct Debit listed, to invite them

Debt management

Late payers, handled calmly and on time

Everyone who owes money is in one list, oldest first, with the next step beside them. Customers paying by Direct Debit are never treated as late while their collection is on its way.

  • Reminders before and after the due date
  • Promises to pay, with a follow-up on the day
  • Overlock a unit and see it blocked on the plan
  • Formal notices prepared when it comes to that

Reporting

Numbers you can trust, worked out one way

Revenue, occupancy, debt and cash are defined once and used everywhere, so the dashboard, the reports and your accountant see the same figures.

  • A finance overview for the month at a glance
  • Revenue by month and by service
  • Occupancy and capacity by warehouse
  • Open invoices by age

Expenses and your accountant

Expenses in, accountant pack out

Record the company's expenses with their receipts, and give your accountant everything for any period in one pack.

  • Expenses by supplier, with IVA and a photo of the receipt
  • Monthly bills tracked, so none is forgotten
  • By quarter or any dates you choose
  • The accountant pack: every paid invoice and expense for those dates, ready to download

Leads

Every enquiry followed up until it moves in

Website, phone and walk-in enquiries go into one lead queue, each with an owner, a next step and a date.

  • Enquiries from your website and the space calculator arrive on their own
  • An owner, a priority and a next action for each lead
  • Overdue follow-ups stand out
  • Calls, notes and messages kept on the lead's history
  • A lead becomes a customer without retyping anything

Space calculator

A space calculator that knows your prices

Visitors pick what they are storing, room by room, and see the space they need and what it will cost, with your prices and volume discounts. Then they send it to you as a lead.

  • Everyday items with realistic volumes, in a catalogue you control
  • Your storage prices and volume discounts applied as they add items
  • Savings shown for paying upfront or storing without access
  • The estimate arrives as a lead, ready for your team to follow up

Customer portal

A portal your customers will actually use

Customers sign in on any phone and look after themselves, which means fewer calls for you.

  • Pay invoices and download PDFs and statements
  • Set up a Direct Debit or save a card
  • Sign contracts and list what they store
  • Work out the size they need with the space calculator
  • See their appointments and send you messages

Your brand

Your name on every screen, not ours

Staff and customers see your logo, your colours and your web address. Emails go out from your own address. Run more than one brand and each keeps its own customers, invoices and look.

  • Logo and a full colour theme, light and dark
  • Your own sending address and reply-to for every email
  • Invoice details, numbering and contract terms per brand
  • Several sites, buildings and floors under one brand
The brand design settings with logo and colour theme

Mobile first

Built for the phone first, then the desk

Storage is run on the move: at the gate, in the van, on the warehouse floor. So every screen was designed for a phone first and then given more room on tablets and desktops, for your team and your customers alike.

  • Navigation at the bottom of the screen, within reach of your thumb
  • Panels that slide up from the bottom, with large buttons and clear labels
  • Customer pages, messages and the dashboard laid out for a small screen
  • Contracts read and signed on the customer's phone
  • Works in the browser on any phone or tablet; the staff app runs on Android

Your team

The right access for each person

From the owner to a part-time gate assistant, everyone has their own sign-in and sees what their job needs, nothing more. Each role is a set of permissions you choose from more than 120, grouped by area.

  • Owners and managers, accounts, customer support, warehouse operatives and a read-only role for your accountant or auditor
  • Change a role once and everyone with it follows
  • Exceptions for one person: allow or deny a single permission
  • Limit a person to certain sites and warehouses
  • Money kept apart: someone who may not see debt sees an overdue customer's unit simply as occupied
  • Issuing, voiding and correcting invoices, payments and Direct Debit charges are separate permissions
  • Suspend a person in one click; every change to access is recorded
